THE ROLEUsing discretion and judgement, manages and coordinates all operational aspects of the administrative functions . Manages administrative staff to ensure the group provides effective and efficient service. In collaboration with the global admin management team, helps to strategize and implement consistent global administrative processes.
WHAT YOU WILL DO- Responsible for managing the administrative team; allocates schedules, work load and monitors performance. Makes decisions regarding employment, training & development, performance appraisals and compensation recommendations.
- Provides support to senior executives.
- Works in conjunction with global administrative managers to foster a collaborative and consistent approach the entire team.
- Continually works to improve, strategize and develop on going procedures with global administrative management team to ensure a globally efficient work flow.
- Assesses administrative staff performance and provides coaching, guidance, and training opportunities to ensure maximum efficiency. Manages performance review process for administrative team as well as appropriately managing performance issues as needed.
- Partners with the staffing and recruiting department to strategize hiring needs and resources; trains and on-boards new hires to the administrative team.
- Acts as primary department contact to other MFS departments and is responsible for office space allocation and other property management initiatives.
- Responsible for coordinating department wide initiatives and teambuilding events.
- Coordinates all aspects of on-boarding of new incoming employees.
- Approves all reimbursement expenses locally; fully understands and masters the T&E policy and procedures.
- Responsible for ensuring that all IT support functions are maintained and that any issues are resolved with the appropriate support departments.
- Performs a variety of specialized duties, which may be complex or confidential in nature, to assist management and ensure smooth and efficient department operations.
- Performs additional related duties as requested.
WHAT WE ARE LOOKING FOR- Bachelor's degree or equivalent education or experience
- Minimum of 5 years of management experience and 12 years of administrative experience within the Financial Services Industry.
- Excellent project management, teamwork and leadership skills.
