The Operations Coordinator will be reporting to the Manager of Operations Coordination and will be a member of the Central Europe (CEU) Offshore Service organization. The Operations Coordination team is responsible for standardized and harmonized Backoffice processes across all CEU offshore sites.
In this role you will be responsible for maintaining the trainings of all technicians working at site to assure the technicians training and competencies complies to SGRE and site-specific trainings requirements. Ordering of materials / services (non-warehouse), ownership of purchase orders, order confirmation and invoice management as well as providing general administrative support to the site team. Working location will be Oostende. In this position you will work on a normal working hours schedule.
What does your day look like

In this position you start at normal office hours. The day starts with the Site's daily briefing understanding the planned works for the offshore windfarm. In this meeting you might be asked for giving an update on purchase orders and planned trainings for the technicians. In this meeting you will be informed about (new) technicians coming to the site, where you need to take of the onboarding and managing the trainings. After the daily meeting the "normal" days start which can be quite hectic as of all questions by Site management, technicians, and visitors on site.
As the technicians are working offshore for 14 days, crew changes at every 2nd week Wednesdays needs to be prepared with all kind of documentation and communication.
Some of the key tasks will include but are not limited to:
- Assist the Operations Manager and the Site team members in following up on internal and external daily business topics.
- Set up and maintain site-specific trainings requirements (maintained in SGRE's TC manager), Collect all trainings requirements (technology, HSE, Electrical Specialist and local / site specific requirements) in consultation with Site team, Training and Competence Advisor.
- Setup and execute Site Trainings plan, in consultation with Operational planner and Site manager.
- Setup yearly Trainings plan, forecasting towards SGRE trainings department and other training suppliers to assure sufficient training capacity.
- (Final) check validity of all site technician certificates (SGRE / 3rd parties / visitors).
- Ordering process for nonstandard materials (including office supplies), Creation of PO's according to the designed process within SAP for the preferred vendors with the correct PO type, ESN, Tax code and account assignment. PO Release, Confirmation and Error Monitoring and PO Error Solving.
- Setup and maintain site induction and welcome letter for new joiners / Site visitors, execute site induction when arriving on-site.
- On boarding (site) new joiners back-office processes / Offboarding.
- Acts as site administrator for project SharePoint site / Teams: set up, maintain, manage access rightsaccording to Site specific communication and correspondence project plan. Assure documentation is stored and shared according to the Site-specific documentation plan.
- Upon request Operations Manager organize internal / external events.
To make a difference, you need a passion for renewable energy and an understanding of the importance of leading the change. Knowledge of the Wind industry, SAP and / or experience in managing trainings is considered a real benefit. We are looking for Project in Belgium, Rentel Seamade:
- Hands on relevant business experience in a comparable role - preferably operational experience in the offshore wind business or in another relevant field.
- Awareness and ownership to drive quality and safety topics.
- Passion for operations and safety and the ability to systematically manage a diverse portfolio of topics and teams.
- Detailed focus, with experience of process improvement principles.
- ASO / Secretarial, PMO office or Office management;
- 2-3 years relevant work experience;
- Advanced knowledge of Business English;
- Advanced knowledge of Microsoft Office
