Position Description:
We are searching for a talented and detail orientated HR Operations Project Specialist. This important team member will manage the HR project calendar and ensure the successful execution of HR programs. Responsibilities include administering key HR processes such as performance management, goal planning, and succession planning through our performance management tool. This role will own the creation and upkeep of HR desk procedures, ensuring documentation clarity and consistency across the team. The candidate will oversee program delivery, maintaining alignment with organizational objectives and compliance with established procedures.
Day-to Day-Duties and Responsibilities include:
Project Management:
Oversee the HR project calendar, ensuring projects are executed on time and within both budget and scope.
Design and implement effective project management systems that utilize industry-proven methodologies to streamline workflows, enhance team coordination, and drive project success.
Act as the central point of contact for project updates and progress, ensuring all stakeholders remain aligned with project goals and timelines.
Continuously evaluate and improve project management systems to meet the evolving needs of the organization and ensure alignment with best practices.
Program Management:
Administer and manage HR programs, including performance management, goal setting, and succession planning.
Develop and implement HR programs to support organizational goals.
Track and report on program milestones, timelines, and outcomes.
Desk Procedures Ownership:
Create and maintain HR desk procedures, documenting HR processes to ensure clarity, consistency, and accessibility across the team.
Update procedures regularly to reflect process changes and improvements.
Key point of contact for both internal and external audits of HR processes.
Change Management:
Lead change management efforts for new HR initiatives, ensuring successful adoption.
Partner with HR leadership to design communications and engagement strategies to facilitate change.
Collaboration and Reporting:
Work closely with HR and other departments to ensure effective implementation of HR programs.
Prepare and present project and program updates to HR leadership and stakeholders.
What You Bring to the Team:
Our ideal candidate lives within a commutable distance from our office in Austin, Texas and willing to work a hybrid schedule.
It is an important role that covers many skills. This position requires:
A bachelor’s degree in Business, Finance, or a related field, along with five or more years of experience in program management, project planning, and change management. A Project Management certification (PMP or similar), knowledge of Agile methodologies, and prior HR experience are preferred.
The HR Operations Project Specialist should possess strong organizational skills with a proven ability to manage multiple priorities and drive project execution effectively. Excellent communication skills, both verbal and written, are essential, enabling collaboration with team members, management at all levels, and external vendors. Advanced Excel skills are required, while experience with data visualization tools such as Power BI or Tableau and statistical modeling is a plus. Familiarity with project management tools and Agile methodologies would be beneficial but is not required. Additionally, sound judgment, discretion with sensitive information, and strong attention to detail is required.
